LHDN’s e-invoicing rules change how an online store closes every sale and every month. This checklist covers what you need in place, in the order you will need it — from MyInvois credentials to the month-end consolidated e-invoice.

1. Get into the MyInvois Portal

Your company’s director logs in to the MyInvois Portal through the MyTax site for the first time, accepts the terms, and completes the taxpayer and user profile. The same login works for both the Live portal and the Staging (preproduction) portal, so you can test without touching real records.

2. Generate your ERP Client ID and Client Secret

Any app that submits e-invoices on your behalf authenticates with LHDN using an ERP Client ID and Client Secret. You create them in the MyInvois Portal by registering an ERP System.

Two things catch stores out:

  • Staging and Live credentials are separate. Generate a pair for each.
  • Client Secrets expire. You choose the expiry when you create one. Put the date in your calendar — once it lapses, submissions stop until you generate a new secret.

3. Connect your store

Pick the integration for your platform and enter your company details and MyInvois credentials:

Start in Staging. Run a few test orders through the full flow, check they appear in the preproduction portal, then switch to Live.

4. Let customers request an e-invoice

A customer who wants an individual e-invoice must request it within the same month as the purchase. Depending on your platform, they request it at checkout, from their order page, or your staff raise it for them.

The customer then fills in their TIN and ID on a form. That form stays open for 3 days; if it is not submitted in time, the request is cancelled.

The most common reasons LHDN rejects a submission are an invalid TIN, a wrong NRIC, or an invoice number that already exists in your LHDN account. When that happens the customer is emailed to correct the form and resubmit within 3 days.

5. Know which sales cannot be consolidated

Orders nobody requested an individual e-invoice for can go into one consolidated e-invoice at month end — with exceptions. You must issue an individual e-invoice when:

  • the customer requested one that month and submitted valid details, or
  • the transaction falls into a category LHDN requires individually, including any single transaction above RM10,000 (from 1 January 2026), motor vehicle sales, airline tickets, and construction materials.

If you sell in any of these categories, check the full LHDN list with your tax adviser before relying on consolidation.

6. Handle cancellations and refunds

You can cancel a validated e-invoice within 72 hours of submission. After 72 hours, a refund is handled with a Refund Note for the refunded amount instead. Credit Notes and Debit Notes work the same way — they can only be issued against an e-invoice LHDN has already validated.

For a customer who never requested an e-invoice and is refunded within the same month, the consolidated e-invoice simply records the order at its latest value (RM0 if fully refunded).

7. Submit the consolidated e-invoice on time

Submit the consolidated e-invoice for the previous month between the 1st and 7th of the following month. Before you submit:

  1. Fetch the month’s orders and download the order list — it is your bookkeeping record, because the consolidated submission itself does not carry per-order detail.
  2. Check the aggregated total and correct it if anything is off.
  3. Submit, then allow time for LHDN validation.

If your accountant submits the consolidated e-invoice through their own software or MyTax instead, give them the order list so they can exclude orders that already have individual e-invoices.

8. Keep customer data to a minimum

Customer details collected for e-invoicing only need to exist until the consolidated e-invoice is calculated. With O2O E-Invoice, they are held for a maximum of 60 days and then redacted.
